Meaning
Contractual timeframes define the period within which a supplier must report an unpaid invoice to their insurer. An overdue reporting window usually starts sixty days after the original due date and ends thirty days later. Failure to notify the insurer within this specific timeframe can lead to the total loss of coverage for that debt.
Notification Deadline
Accuracy in tracking dates on the sales ledger is the only way to ensure claims remain valid. When an overdue reporting window is missed, the insurer assumes the supplier has accepted the risk of the late payment and removes the indemnity. This forces the credit team to be disciplined about monitoring every single outstanding balance.
Claim Admissibility
Underwriters check the reporting date before even looking at the reason for the default. If the overdue reporting window was ignored, the claim is rejected automatically regardless of whether the customer has gone bankrupt. This strictness allows the insurer to manage their potential liabilities and start the recovery process as early as possible.
Grace Period
Short extensions are sometimes granted if the supplier can prove a genuine administrative error occurred. However, the overdue reporting window is generally treated as a hard limit that cannot be negotiated after a loss happens. Consistently reporting late reflects poorly on the quality of a company’s internal financial controls.
